Privacy policy

1. Who we are
Wild & Wise Records Ltd. operates www.dubsproductions.co.uk and the brands Dubs Productions, Manipulated Sounds and ARACHNID WDS. We are the controller of personal information we collect to operate this store, manage customer relationships and fulfil our legal obligations.
Company number: 14838090. Registered in England and Wales.
Registered office and postal contact: 100a Mora Road, London, England, NW2 6TE.
Email: contact@dubsproductions.co.uk.
This policy covers visitors, customers, subscribers and people who contact us. It includes purchases of music, beat and sync licences, sample packs, software, plugins, Shopify themes and sections, merchandise and physical music.
2. Information we collect
- Contact and account information: your name, email address, telephone number where provided, billing and delivery addresses, and customer account details.
- Order and transaction information: products purchased, order numbers, prices, payment status, refunds, delivery information and licence entitlements. Payment providers process card and payment credentials; we receive the transaction information needed to administer the order.
- Communications: enquiries, support requests, complaints, reviews or comments you submit, and attachments you choose to send. Please avoid including passwords or other unnecessary sensitive information.
- Marketing preferences: subscription choices, consent records and unsubscribe requests.
- Technical and usage information: IP address, browser and device information, cookie identifiers, pages visited and interactions with the store, where collected by Shopify or technologies used on the website.
We receive information directly from you, through our Shopify store, and from payment and fulfilment providers when they report payment, dispatch, delivery or order issues. Where an order includes another person's delivery details, please ensure you have authority to provide them.
3. How we use information and our lawful bases
- Contract: to process orders and payments, supply downloads and licences, arrange production and delivery, administer your account and provide support relating to a purchase. This also covers steps you ask us to take before entering a contract.
- Legal obligation: to maintain accounting and tax records, meet consumer-law obligations and respond to lawful requests from authorities.
- Legitimate interests: to protect the store against fraud and misuse, maintain security, resolve enquiries and disputes, verify licence entitlements, and improve our products and customer service. We consider the effect on your rights before relying on this basis.
- Consent: to send subscription-based marketing and use cookies or similar technologies where consent is required. You can withdraw consent at any time without affecting processing already carried out lawfully.
Order, download, delivery and support emails are service communications rather than marketing. If required order details are not supplied, we may be unable to process payment, supply the product or arrange delivery.
4. Who receives your information
We share relevant information with providers where needed to operate the store and fulfil your order:
- Shopify: store hosting, checkout, customer accounts, order administration, digital delivery and communications provided through Shopify, together with platform security and reporting functions.
- Payment providers: the provider you select at checkout, and associated payment-processing and fraud-prevention services, to process payment and refunds.
- Printify: for merchandise orders, relevant customer and order information is shared with Printify and the print providers and delivery services involved in producing and shipping the merchandise.
- elasticStage: for physical music orders fulfilled through elasticStage, relevant customer and order information is shared so the records or CDs can be produced, dispatched and supported.
- Delivery services: information necessary to deliver, track or resolve issues with physical orders.
- Professional advisers and authorities: where necessary for accounting, legal advice, regulatory obligations or the establishment, exercise or defence of legal claims.
For fulfilment, relevant information can include your name, delivery address, contact details, the items ordered and delivery instructions. We do not send every customer's information to every fulfilment provider: sharing relates to the service or order concerned.
Providers may act on our instructions for some activities and as separate controllers for others, such as their own payment, fraud-prevention or legal obligations. Further information is available in the Shopify privacy policy, the Printify privacy policy and the privacy information provided by elasticStage on its website and checkout.
If you leave our website and buy directly through another platform, that platform's seller details, privacy information and purchase terms apply to that transaction.
5. International processing
Our providers and their service partners operate internationally, so information may be processed outside the United Kingdom, including in the European Economic Area, the United States and Canada. The location depends on the provider and the service used. Where a transfer is restricted under UK data protection law, it must be covered by an applicable adequacy decision or appropriate safeguards, such as approved contractual safeguards. Contact us for information about the safeguards relevant to your information.
6. Cookies and similar technologies
The Shopify storefront uses cookies and similar technologies for functions such as shopping baskets, checkout, security and remembering preferences. Analytics or marketing technologies, where used, can also collect information about visits and interactions.
Strictly necessary technologies do not require consent where the relevant legal exception applies. Technologies requiring consent must not be used before that consent is obtained. You can manage your choices through any cookie controls provided on the site and through your browser settings. Blocking essential cookies may prevent checkout or other store functions from working. Shopify's privacy information explains its use of these technologies. Contact us if you need help identifying or managing a cookie used by our store.
7. Marketing
You can unsubscribe using the link in a marketing email or by contacting us. Buying a product does not, by itself, mean you have agreed to receive all marketing. We retain the minimum information necessary to record your preferences and avoid sending further marketing after an unsubscribe request.
8. Retention and security
We keep personal information only for as long as needed for the purpose for which it was collected, including applicable accounting and tax requirements, ongoing contractual or licence obligations, and the handling of disputes or legal claims.
Retention is determined by the type of record, the statutory retention period that applies, whether the order or support issue is complete, whether a licence or account remains active, and whether information is still needed to establish or defend a claim. Marketing records are kept while the subscription remains active; a limited suppression record may be retained after unsubscribe. Information no longer needed is deleted or anonymised, subject to lawful retention requirements and normal backup cycles.
We use proportionate organisational and technical measures to protect information, including limiting access to those who need it. No online service can guarantee absolute security.
9. Your rights
Depending on the circumstances and applicable law, you can ask to access your information, correct inaccuracies, erase it, restrict its use, receive portable information or object to processing based on legitimate interests. You can object to direct marketing at any time and withdraw consent where processing relies on it.
Email us to exercise a right. We may need reasonable information to verify your identity. Rights are subject to legal conditions and exemptions; for example, some order records may need to be retained to meet legal obligations. We respond within the period required by applicable law, normally one month, with any permitted extension explained.
You can complain to the Information Commissioner's Office at ico.org.uk/make-a-complaint/. You do not have to contact us first, although we welcome the opportunity to resolve a concern.
10. Changes and contact
We will update this policy when relevant practices or requirements change and amend the date above. Where required, we will communicate material changes directly. For privacy enquiries, contact Wild & Wise Records Ltd. using the email or postal address in section 1.
